INVITATION TO TENDER:
TO DESIGN AND PUBLISH THE CAUSEWAY COAST AND GLENS HERITAGE TRUST 2016/17 ANNUAL REPORT
- INTRODUCTION
Causeway Coast & Glens Heritage Trust (CCGHT) is inviting proposals from suitably qualified individuals or organisations to undertake to design the CCGHT 2016/17 Annual Report
The closing date for return proposals is 12 noon on Friday 8th September 2017
- CCGHT BACKGROUND
Causeway Coast and Glens Heritage Trust (CCGHT) was established in May 2002 as a public/private/voluntary sector partnership body devoted to protecting and enhancing the unique heritage of the Causeway Coast and Glens.
CCGHT consists of a Board of 14 Directors and brings together a range of different organisations including landowners, local Councils and the farming, tourism, education, environment and community sectors.
CCGHT’s objectives are:
- To develop sustainable and effective partnerships
- To raise awareness of the unique and special qualities/character, in both landscape and heritage terms (natural, built and cultural) of the 3 AONBs and their surrounding area
- To deliver an excellent protected area management provision
- To ensure best practice in sustainable development principles
- To deliver a sustainable, efficient and effective core activity/management
- PROJECT PROPOSAL & SUGGESTED METHODOLOGY
CCGHT requires the services of a designer to design and publish the CCGHT 2016/17 Annual Report. CCGHT requires an innovative and creative designer who will create an imaginative and attractive report complemented with relevant infographics. A quality document that will impress our stakeholders and funders, reflecting the diversity of projects delivered and the heritage we represent.
The report will be completed in time for the launch in mid November 2017. The report will be available in electronic, web format and hard copy. The quote will include design and print costs for 100 (A4, 32 page) copies and will also include all other costs including VAT.
Annual Reports are generally dull documents, however CCGHT wants a creative designer that will generate infographics, tables, diagrams, maps and concepts to make facts and numbers look attractive and interesting. The report will be easily navigated and artistic. CCGHT wants a skilled designer who has excellent experience developing reports and who will have the initiative to suggest innovative ideas to create a simple but striking annual report. We expect to see examples of previous reports and details of concepts and ideas incorporated in the reports that have been developed solely by the designers.
On completion the appointed designer will provide the report to CCGHT in printed version (100 copies) and a variety of formats including an electronic version suitable for website. CCGHT will be the proprietor of the final draft. CCGHT will provide text and images but the appointed designer may be responsible for sourcing some images and maps; creating graphs, diagrams, drawings and tables. The design company will be responsible for adhering to copyright legislation.
- INSTRUCTION TO BIDDERS
- Essential Criteria
Evidence of a clear methodology and understanding of the needs of CCGHT. |
Evidence of details of the skills and experience of the proposer; |
Evidence of previous reports with details of infographics designed by the designer. |
Evidence of a breakdown of the key personnel and the activities they will be responsible for. |
Ability to complete the project within budget. |
Availability to complete the work within the agreed timescale. |
Failure to evidence any of the above criteria will invalidate the tender.
- Eligible proposal will be considered against the following award criteria.

Detailed methodology including details of the designer appointed to work on this project | 25% |
Evidence of previous similar work by the appointed designer, examples of his/her relevant work including at least one report. | 25% |
Detailed costing including VAT and other proposed expenses. | 30% |
Failure to address any of the above issues will invalidate the tender.
- BUDGET
CCGHT expects the annual budget for this project to be in the region of £1500. This amount includes all fees and VAT.
- AWARD CRITERIA
CCGHT does not bind itself to accept the tender with the lowest stated price. CCGHT will not compensate the proposer for costs associated with the production of the tender document.
The contract will be awarded to the most economically advantageous tender overall based on an assessment of price, quality, delivery, technical ability, relevant experience and stated ability to satisfactorily meet the requirements of the contract.
It is expected that tender respondents will be informed of the outcome of the tender process on Monday 11th September 2017
- OFFICIAL AMENDMENTS
Should it be necessary for CCGHT to amend the tender documentation or process in any way, prior to receipt of tenders, all bidders in receipt of documents will be notified simultaneously. If deemed appropriate the deadline for receipt of tenders will be extended.

The closing date for return of tender proposals is Friday 8th September 2017 at 12noon.
Emailed proposals should be submitted in an attachment with Tender for Design and publication of CCGHT 2016/17 Annual Report as the subject. This attachment will not be opened until after the closing date and time.
